Review AI meeting notes before turning them into actions
Keep owners, deadlines, decisions, and uncertainty separate while cleaning the presentation of meeting notes.
Keep a summary separate from a commitment
A meeting summary may compress discussion into wording that sounds like a decision. Before cleaning it, compare proposed actions with the meeting record or the people responsible. Separate agreed commitments, open questions, and suggestions instead of treating every bullet as an assigned task.
For each real action, keep an owner, a concrete deliverable, and a deadline only when those were agreed. Preserve uncertainty explicitly: date to confirm is different from due Friday. A formatting tool cannot reconstruct the discussion or assign responsibility correctly.
Preserve relationships in the layout
Use Markdown and spacing cleanup for headings and bold labels while keeping bullets and numbering. Avoid joining wrapped lines when separate rows represent different owners or decisions. Duplicate removal is particularly risky: the same sentence under two different headings may have different meaning.
Pin names, dates, and exact decision wording in the studio. Read the result with its headings visible so an unchanged name has not become associated with the wrong task. Count comparisons help spot some losses, but they do not understand ownership.
Ask for confirmation before distribution
Read the cleaned action list as a recipient would: is it clear what is decided, what is tentative, and what still needs an answer? Check that copied links lead to the intended project documents. Omit confidential context that recipients do not need.
Share the reviewed draft through your normal team process and ask owners to confirm disputed details. The downloadable text is an editable draft, not a verified transcript or proof of agreement. Keep the underlying record according to your team's policies.
Worked example
Input
## Actions - **Ada:** review draft; date to confirm. - **Bo:** share agenda.
Result
Actions - Ada: review draft; date to confirm. - Bo: share agenda.
The uncertainty remains explicit. Cleanup does not invent deadlines or change which person owns a task.
